OFFICE MANAGER (m/f) / PA TO THE DIRECTOR GENERAL

JOB DESCRIPTION

As our Office Manager your core responsibilities comprise managing: 

  • office supplies and facilities as well as related budgets,
  • the third-party service and supply contracts
  • travels and accommodation for our team,
  • FECC income and VAT collection in cooperation with external accountants
  • Entry & processing of accounting, financial and other data
  • the relationship with the landlord and sub-lessors
  • checking documents and ensure the filing of all corporate documents (both electronic and physical)
  • the reception of visitors,
  • meetings and events
  • the association´s databases & IT systems.

As PA to the DG, you are responsible to assist the DG in all matters inclusive:

  • Filing related to the General Assembly, Consultative Assemblies and Board meetings in accordance with the statutes of the association and Belgian law,
  • All administrative matters relating to Board members and the required publications of Board nominations,
  • Supporting the DG and the team in administrative matters (expenses, invoices, etc.)
  • Update calendar, organize meetings and make travel arrangements

SKILLS & COMPETENCIES

  • An academic or equivalent general education would be welcome, as well as a first administrative and accounting experience,
  • Excellent computer literacy like standard IT applications (word processing, outlook, power point, excel), spreadsheet, databases,
  • Excellent command of English, French, other languages a plus,
  • A very well-structured mindset, accompanied with a customer-oriented approach,
  • Stress resistance,
  • Empathy; team player with the capability to work autonomously
  • Experience in event organization & management is an asset.
